Safe Face-to-Face Meetings

Stronger When We Meet Together

safe meeting set up

As we continue the process to navigate reopening, we are evaluating all aspects of business operations. One of these aspects is the ability to move forward with safe and productive face-to-face meetings and events to ensure meetings can occur without compromising wellbeing to include social distancing, masking, and other safety protocols.

Over the last several months, our team at the Texas A&M Hotel and Conference Center has worked with key university faculty and staff to utilize research-based data and apply it to building safety enhancements, protocols and procedures that far exceed both governmental requirements and industry standards.

We hosted a face-to-face event In November to showcase new methodologies and exhibit setups displaying how meetings can be conducted safely with limited attendance to 25% capacity to meet university event guidelines. A panel of industry experts were on hand to answer questions about the state of meetings, how to conduct successful hybrid events and how to regain confidence with meeting attendees to shift meetings from virtual back to face to face.

Science-based data and tested-protocols are essential to enabling us all to expand our meeting capabilities in a safe and responsible manner. Experiencing how this is implemented for yourself provides invaluable insight to share with others to help us continue to move business forward.

"Not only was I extremely impressed with all the safety measures the Texas A&M Hotel has implemented, but I was very excited to learn about their new virtual event services through Rudder Theatre Complex. As far as we can tell, a hybrid of in-person and virtual events is here to stay, so it’s so reassuring to know that I can make one call and it’s all taken care of."

- Michaela Catalena | Events Manager, Texas A&M University College of Engineering

"I loved the new room setup you all used to help us all feel safe. The new air system being used to clean the air was quite impressive. All the food was individualized, new ideas, and delicious."

- Karen Smith | Event Management & Planning, Texas A&M Transportation Institute
